Preventive Maintenance Agreements (PMAs) | Hartzell’s Heat & Air

Preventive Maintenance Agreements (PMAs) — Hartzell’s Heat & Air

Your car needs oil changes. Your yard needs mowing. Your HVAC system, geothermal loop, and water heater need annual professional service — and most people skip it until something fails. A PMA puts you on our schedule before peak season. We find the worn capacitor, the low loop pressure, the failing anode rod before it becomes an emergency call. Pre-paid, automatic, no dispatch fee on included visits. — Dave Hartzell

What Is a PMA?

A preventive maintenance agreement is a pre-paid annual service contract. You pay once per year, we put your equipment in our scheduling system, and we contact you before peak season to set your visit. No reminders needed on your end.

Your included visit(s) carry no dispatch fee — that cost is built into the plan. Repair calls outside your included visits use the standard $99 dispatch fee, and plan members receive 10–20% off the repair labor depending on plan tier.

Trane, Mitsubishi, Carrier, Daikin, and ClimateMaster all require documented annual service to keep parts warranty valid. Without a service record on file, a manufacturer can deny a claim on a $2,000 compressor or a $1,500 heat exchanger. Every Hartzell’s visit produces a dated, itemized written report — your proof of care.

Common Questions

What is a preventive maintenance agreement?

A PMA is a pre-paid annual service plan — we schedule your tune-up automatically before peak season.

You pay once per year. We put your system in our scheduling calendar and reach out before cooling season (spring) or heating season (fall). Your included visit(s) have no dispatch fee.

Is there a dispatch fee for plan members?

No dispatch fee on your included visit(s) — covered by the membership.

The standard $99 dispatch fee applies to repair calls and any service outside your included visits. Your annual tune-up is fully covered — no fee on top of the plan price.

Do I need separate plans for my HVAC and water heater?

Yes — each system type has its own plan, but we service everything on one visit.

HVAC, geothermal, and water heaters each require different inspections. Pair any combination and we come out once — no extra trip charge. Many customers bundle Dave’s 360 with a Water Heater plan.

Does my manufacturer warranty require annual maintenance?

Yes — Trane, Mitsubishi, Carrier, Daikin, ClimateMaster all require documented annual service.

Without a maintenance record, manufacturers can deny warranty claims on major components. Every Hartzell’s visit produces a dated, itemized written report that is your proof of care.

Why is annual maintenance more important in Oklahoma?

100°F+ summers, hard water, and wind-driven red dust put equipment under stress that most manufacturers’ service intervals don’t account for.

Central Oklahoma systems run longer hours at higher heat loads than in milder climates. Hard water at 15–25 grains per gallon destroys anode rods and geothermal heat exchangers early. Wind-driven dust clogs condenser coils faster than standard inspection intervals account for. Annual service here is damage control, not optional upkeep.
