Service Call & Diagnostic Pricing
Here’s how a standard service call works at Hartzell’s:
$99
Dispatch Fee
Applies to every service visit. Covers travel and getting a qualified technician to your door.
Dispatch is waived on your included tune-up visit(s). Repair and emergency calls: $99 dispatch applies.
$111
Diagnostic Fee
Paid to identify the root cause of your system’s problem — properly, not by guessing.
Credited toward your repair or replacement if you approve an estimate within 14 days. If you decide not to move forward, it covers the diagnosis.
$229
Tune-Up
A thorough inspection and cleaning of your heating or cooling system — not a 15-minute checklist.
Dave’s 360 Plan members receive discounts on tune-ups.
Example: You call us for a heating problem. We charge $99 dispatch + $111 diagnostic = $210 total to come out and diagnose. We find the problem and give you a repair quote of $350. You approve it — the $111 diagnostic comes off: you pay $99 + ($350 – $111) = $338 total. The diagnosis didn’t cost you extra because you chose to fix it.

Indoor Air Quality & Protection Add-Ons
These are installed prices typical for central Oklahoma. Most add-ons take under an hour and can be done same-day during any service or maintenance visit. Final pricing quoted on-site after system evaluation.
| Product | Installed Price | What It Does |
|---|---|---|
| HVAC surge protector Intermatic AG3000 |

| Condensate float switch RectorSeal Safe-T-Switch |
$150 – $350 | Shuts the system off before a clogged condensate drain overflows. Prevents ceiling and flooring water damage. 15–30 min install on any service call. |
| 4–5 in. media filter cabinet Aprilaire, Honeywell — MERV 11–16 |
$400 – $900 | Replaces standard 1-inch filter slot. Far better filtration, less frequent changes, no airflow restriction. Annual filters $40–$70. 5-year warranty. |
| UV coil purifier Fresh-Aire, Aprilaire UVC |
$250 – $600 | UV lamp inside the air handler irradiates the evaporator coil, controlling biological growth. Annual lamp replacement $30–$80. Fast add-on during tune-up. |
| Air Scrubber by Aerus In-duct UV / ActivePure |
$900 – $1,500 | Installs in supply or return plenum. ActivePure cell treats air as it circulates. Cell replacement every 2 years ($150–$300). Covers up to 3,000 sq ft. |
| iWave-R bipolar ionizer Nu-Calgon |
$695 – $1,200 | Self-cleaning needlepoint ionizer, no replacement parts. Handles up to 6 tons / 2,400 CFM. Good option for homes with pets or persistent odors. |
| Whole-home dehumidifier Aprilaire 1850 |
$1,800 – $3,500 | Standalone ducted unit maintains indoor RH 45–55% independent of AC. Dedicated 240V circuit usually required. Aprilaire 1850 — 5-year warranty. |
| ERV (Energy Recovery Ventilator) Fantech, Broan, Honeywell |
$1,500 – $3,500 | Brings in fresh outdoor air while recovering energy from the exhaust stream. Correct choice for Oklahoma’s humid climate (ERV, not HRV). Best ROI alongside new construction or system replacement. |

Why Dispatch and Diagnostic Are Separate Fees
Some HVAC companies advertise a single “service fee” that seems low — then build their diagnostic profit into labor rates or parts markups you don’t see until the invoice arrives. Hartzell’s separates these because they are genuinely different services:
- Dispatch fee ($99) — Pays for travel, fuel, and the cost of keeping a fully stocked service truck on the road. This is a real cost that exists whether or not the visit takes 10 minutes or 3 hours.
- Diagnostic fee ($111) — Pays for the technician’s expertise and time to find the actual problem. A proper diagnosis takes time and skill. Dave has been diagnosing HVAC systems for 15+ years — he finds the real cause, not just the symptom. And when you approve the repair, you get it back.
The result: transparent pricing where you know what you’re paying and why. No buried fees. No inflated labor rates to hide a “free diagnostic.” Just honest service.
Financing Options
A new HVAC system is a major purchase. Hartzell’s offers financing through Synchrony, Wells Fargo Home Projects, and Wisetack — giving you multiple options and better approval chances. Ask about current promotional terms when you receive your estimate. Learn more about financing →
💵 Cash / Check Courtesy Discount — 3% Off
3% off when you pay cash or check — on repairs over $2,000. On a $3,000 job that’s $90 back. On a $5,000 job it’s $150. Just ask before I write the invoice.
A couple of things to know: The discount applies to the repair portion of the invoice only — the $99 dispatch fee and $111 diagnostic fee are not included. Must be paid in full at time of service. Cash or personal/business check only (no money orders).
Discounts I Offer
I’ve never been big on gimmicks, but I do think certain customers deserve a break — folks who’ve been loyal, who referred a neighbor, or who’ve served their community. Here’s what I currently offer:
| Discount | Amount | Who Qualifies |
|---|---|---|
| Annual Maintenance Loyalty | 5% off repairs | Customers who’ve kept their annual maintenance on schedule, year over year. You take care of your system, I’ll take care of you. |
| Welcome Back | $50 off | Past Hartzell’s customers returning after 12 or more months away. Life happens — I’m glad you’re back. |
| Neighbor Referral | $50 off | New customers referred by an existing Hartzell’s customer. Word of mouth means more to me than any ad — this is my way of saying thank you. |
| Veteran / First Responder | 5% off repairs | Active and retired military, law enforcement, fire, and EMTs. You’ve done enough for this community — the least I can do is this. |
| Senior Courtesy | 5% off repairs | Customers age 65 and older. Just mention it when you call — no paperwork required. |
| Decision Day Discount | 5% off | Say yes to the repair on the day of diagnosis and I’ll knock 5% off the repair total. |
| Multi-Repair Discount | 5% off | When we find and fix more than one issue on the same visit, 5% off the total repair. |
A few notes: All discounts apply to the repair portion of the invoice only — the $99 dispatch fee and $111 diagnostic fee are not included. Discounts cannot be combined; if more than one applies, I’ll give you the best one. Ask when you call or when I arrive — just mention it before the invoice is written up.
Common Pricing Questions
Do I have to pay the dispatch fee if the technician can’t fix the problem?
Yes — the dispatch fee applies when we arrive on site. The diagnostic fee also applies to identify what’s wrong. However, if you approve a repair and we find during that repair that it cannot be completed (extremely rare), we work through it honestly. We’ll always tell you upfront if a job is beyond our scope or if parts aren’t available before charging for work not done.
Are there additional fees for after-hours or weekend service?
Emergency after-hours calls may have additional fees. We will always tell you what those fees are before dispatching a technician — no surprise charges. Call 405-375-4822 and we’ll give you upfront pricing before any work begins.
Do you charge for estimates on new system installations?
No — estimates for new system installations and replacements are free. Call 405-375-4822 or contact us online to schedule your free estimate.
Can I get a ballpark price over the phone?
For repairs, we need to see the system before we can quote — that’s what the diagnostic fee pays for. For new systems, we can give you a general range over the phone based on your home’s square footage and existing setup, then schedule a free in-home visit to give you an exact quote.
