What SMS Data We Collect

When you provide your mobile phone number and consent to receive text messages from Hartzell’s Heat & Air, we collect and store the following information:

  • Mobile Phone Number – the number you provide when booking a service, joining a maintenance plan, or submitting a contact form.
  • Opt-In Status & Timestamp – a record of when and how you consented to receive SMS messages from us.
  • Opt-Out Status – if you reply STOP, your opt-out is recorded immediately and no further messages are sent.
  • Message Content – outbound message text sent to your number (appointment reminders, alerts, promotions) is logged for compliance and service quality purposes.

How We Use SMS Data

Your mobile number and messaging preferences are used only for the following purposes:

  • Appointment Reminders – confirmations and day-before/day-of reminders for scheduled HVAC service calls.
  • Technician Arrival Notices – real-time alerts when your technician is on the way.
  • Maintenance Plan Alerts – seasonal tune-up reminders and renewal notices for PMA members.
  • Promotional Messages – occasional service offers, seasonal specials, and new service announcements. You may opt out of promotional messages at any time by replying STOP.

Mobile Data Is Not Shared With Third Parties

Hartzell’s Heat & Air will not share, sell, rent, or disclose your mobile phone number, SMS opt-in data, or message content to any third party for marketing purposes. Mobile data collected through our SMS program is used exclusively to communicate with you directly about your HVAC service. It is never used for third-party marketing, sold to data brokers, or shared with advertising networks.

We use Twilio as our SMS delivery platform. Twilio processes outbound messages on our behalf as a service provider and is bound by strict data handling obligations. Twilio does not use your data for its own marketing purposes. See Twilio’s Privacy Policy for details.

We Do Not Sell Your Data

We do not sell, rent, trade, or otherwise transfer your personal information to third parties for their own marketing purposes. Your information is shared only with service providers who assist us in operating our business and only to the extent necessary to perform those services.

Third-Party Service Providers

We use the following third-party platforms to help manage our business operations:

  • Housecall Pro – our primary field service management platform, used for scheduling, dispatching, customer communication, invoicing, and service history tracking. Data shared with Housecall Pro is governed by their own Privacy Policy.
  • Google Analytics – we use Google Analytics to collect anonymous website usage data (such as pages visited, time on site, and traffic sources) to help us understand how visitors use our website.
